Terms of Use

1. Agreement and trader information

These Terms of Use ("Terms") govern your purchase, download, installation, and use of MeetingStow for Mac, its website, protected download service, license service, and updates (together, the "Service"). The Service is operated by BBDF Consulting LTD ("BBDF", "we", "us", or "our").

By purchasing, installing, activating, or using MeetingStow, you agree to these Terms and our Privacy Policy. If you purchase on behalf of an organization, you confirm that you have authority to bind that organization. You must be at least 18 years old or otherwise legally able to enter this agreement.

2. What MeetingStow provides

MeetingStow is a local-first macOS application that can capture authorized meeting audio, create on-device transcripts and recaps, identify actions and decisions, separate speakers, and store locally confirmed voice templates for speaker recognition. Features and supported meeting applications may change as macOS and third-party meeting products evolve.

MeetingStow is software, not a managed recording, storage, transcription, legal-compliance, or backup service. You control the files it creates on your Mac.

3. Your software license

After a valid one-time purchase, we grant you a personal, limited, non-exclusive, revocable, and non-transferable license to install and use MeetingStow on Apple Silicon Macs that you own or control, for your own personal or internal business purposes.

You may not:

• publish, sell, sublicense, rent, lease, transfer, or share your license key or protected download link with another person or organization;
• distribute copies of MeetingStow or make it available as a hosted or managed service for third parties;
• circumvent license validation, access controls, or security protections;
• reverse engineer, decompile, or modify MeetingStow except where applicable law expressly permits that activity and does not allow the restriction to be waived; or
• use the Service unlawfully, to violate another person's rights, or to interfere with the Service or its infrastructure.

Open-source components and separately downloaded models may be governed by their own licenses. Those licenses continue to apply to the relevant components.

4. Purchase, taxes, refunds, and updates

MeetingStow is sold as a one-time purchase in US dollars through Stripe. The checkout shows the final price and any applicable tax before you pay. There is no recurring subscription.

Your purchase includes updates that we release for MeetingStow for Mac during the commercial lifetime of the product. "Lifetime updates" refers to the supported commercial lifetime of MeetingStow for Mac, not the lifetime of any person, device, company, or operating system. It does not guarantee that we will maintain the product indefinitely, support every future macOS release, or provide every future product or service without charge.

Refunds are governed by our Refund Policy. A refund, chargeback, dispute, reversal, fraudulent payment, or purchase of a different product may disable the associated license and protected download access.

5. Activation and protected downloads

A valid license key and internet connection are required for first activation. MeetingStow periodically checks the associated Stripe purchase through our license service. After a successful validation, the current version provides a seven-day offline grace period when the license service cannot be reached.

Protected download links and license keys are credentials. You are responsible for keeping them private and for activity resulting from their unauthorized sharing. Contact support if you believe a credential has been exposed.

6. System and connectivity requirements

• MeetingStow requires an Apple Silicon Mac and macOS 15 or newer.
• Apple's on-device SpeechAnalyzer transcription requires macOS 26 or newer.
• Automatic meeting recaps require macOS 26 or newer, an Apple Intelligence-compatible Mac, and Apple Intelligence enabled with its on-device model ready.
• The optional Qwen transcription engine requires an additional model download of approximately 2.19 GB and sufficient storage and memory.
• Screen Recording, System Audio Recording, Microphone, Speech Recognition, and related macOS permissions may be required depending on the features you use.
• An internet connection is required for purchase, download, activation, periodic license checks, and first-time model or system asset downloads.

You are responsible for checking compatibility before purchase and for maintaining a supported Mac, operating system, internet connection, and adequate storage.

7. Your recording and privacy responsibilities

Recording, transcribing, monitoring, identifying speakers, or processing voice information may be restricted by national or local law, workplace rules, confidentiality duties, contracts, and platform policies. Requirements differ by location and can depend on where every participant is located.

You are solely responsible for configuring automatic recording appropriately, informing participants, obtaining consent where required, respecting a request not to record, securing the resulting data, establishing an appropriate retention period, and responding to applicable privacy or access requests. MeetingStow does not determine legal compliance for you.

You must not use MeetingStow to intercept communications you are not authorized to receive, record people unlawfully, create deceptive evidence, unlawfully profile individuals, or infringe confidentiality, privacy, intellectual property, employment, or data-protection rights.

8. Local files, security, and backups

MeetingStow normally keeps recordings, transcripts, people data, and voice templates on your Mac. You are responsible for access controls, disk security, backups, exports, retention, deletion, and any sharing of those files. Deleting the app may not delete files stored in your Documents folder or other user-controlled locations.

Voice templates can constitute biometric or sensitive personal data in some jurisdictions. Only enroll a person's voice when you have a lawful basis and appropriate permission to do so.

Software defects, hardware failure, operating-system changes, insufficient storage, interrupted recording, or user actions can result in unavailable, incomplete, or corrupted files. Keep independent backups of information you cannot afford to lose.

9. Transcription and speaker accuracy

Transcriptions, timestamps, translations or language handling, diarization, speaker labels, summaries, and voice matches may be incomplete or wrong. The software may omit speech, merge speakers, assign the wrong person, or generate words that were not spoken.

Always review output against the original recording before relying on it. Do not use unreviewed output as the sole basis for legal, medical, employment, disciplinary, financial, safety-critical, or other high-impact decisions.

10. Updates, support, and availability

We may improve, replace, remove, or discontinue features to maintain security, compatibility, performance, or the product's direction. We do not guarantee support for every meeting platform, language, accent, audio setup, model, or future macOS version.

We may provide updates through the protected download page or another update mechanism. You are responsible for installing security and compatibility updates within a reasonable time.

11. Intellectual property

MeetingStow, its original software, website, branding, visual design, and documentation are owned by BBDF or its licensors and are protected by intellectual-property laws. These Terms grant a license to use the software and do not transfer ownership.

You retain the rights you hold in your meeting recordings, transcripts, names, and other content. You are responsible for ensuring that your collection and use of that content does not violate another person's rights.

12. Suspension and termination

You may stop using MeetingStow at any time. We may suspend or terminate access to protected downloads or license validation if we reasonably believe that a payment was refunded, disputed, reversed, fraudulent, or associated with abuse; a license key is being unlawfully shared; these Terms have been materially breached; or suspension is necessary to protect the Service or comply with law.

Where reasonable, we will provide an opportunity to resolve a mistaken suspension. Termination does not automatically delete recordings or other content stored locally on your Mac.

13. Warranties and consumer rights

Nothing in these Terms excludes a warranty, remedy, or consumer right that applicable law does not allow us to exclude. Subject to those rights, the Service is provided "as is" and "as available". We do not promise uninterrupted operation, error-free output, compatibility with every configuration, or a particular business result.

14. Limitation of liability

To the maximum extent permitted by law, BBDF will not be liable for indirect, incidental, special, punitive, or consequential loss, or for loss of profits, revenue, business opportunity, goodwill, or data arising from the Service. To the maximum extent permitted by law, our total aggregate liability relating to MeetingStow will not exceed the amount you paid for MeetingStow.

These limits do not apply to fraud, fraudulent misrepresentation, death or personal injury caused by negligence, gross negligence or intentional misconduct where liability cannot lawfully be limited, or any other liability that applicable law prohibits us from limiting.

15. Changes to these Terms

We may update these Terms to reflect product, provider, security, or legal changes. The revised Terms will be posted here with a new effective date. Material changes will be communicated through the website, purchase email, or app where reasonably practical. Changes will not retroactively remove rights already acquired under a completed purchase where the law does not permit that result.

16. Governing law and disputes

These Terms are governed by the laws of the Republic of Cyprus. The courts of Cyprus will have jurisdiction, subject to any mandatory consumer-protection rules that allow you to rely on the law or courts of your country of residence.
